How should buyers specify apparel export packing and shipping marks?

An apparel packing specification should connect each garment SKU to its folding and polybag method, size and color assortment, carton limits, labels, shipping marks and final packing-list records. Buyers should approve artwork and a representative packed carton before the full order is sealed. General instructions such as export packing are not precise enough for warehouse receiving.

Build packing instructions from the SKU matrix

Start with the approved purchase order and color-by-size matrix. Assign an identifiable SKU or buyer code to every sellable combination, then show how many units of each SKU belong in a carton. The packing plan must reconcile with the commercial order quantity.

State whether cartons are solid size, solid color or prepacked assortments. For assorted cartons, provide a matrix rather than a sentence. An illustrative carton may contain 24 pieces across several sizes, but the actual count must follow product dimensions, buyer handling rules and confirmed logistics requirements.

Create rules for partial cartons and quantity variances. Identify whether a final incomplete carton is allowed, how it is marked and where it appears in the packing list. This prevents the packing team from making an undocumented decision at the end of production.

Specify garment folding and individual packaging

Describe the approved folding method and use diagrams or a packing sample when presentation matters. Identify hangtags, spare buttons, tissue, collar support or other components only when they are part of the buyer-approved product. Do not add unconfirmed materials to make the package look premium.

For individual bags, record the required bag type, dimensions, closure, warning text, ventilation or recycling marks when applicable, and the position of barcode or SKU labels. Market and retailer requirements must be confirmed by the buyer or appropriate compliance adviser.

Check that the packed garment protects decoration and wash appearance. Folding across raised embroidery or transferring a fresh print onto another surface can create avoidable damage. Approve the combination of garment, decoration and packaging rather than reviewing each item in isolation.

Define carton construction and physical limits

State the carton style, dimensions, material requirement and sealing method accepted by the buyer or logistics provider. Set maximum gross weight and dimensional limits based on the actual transport and warehouse rules, not an unexplained figure copied from another program.

Request a representative packed-carton review before full packing. Confirm garment count, arrangement, void space, carton shape, closure and handling. Record net weight, gross weight and external measurements using the agreed units.

If the buyer requires carton performance testing, name the method, procedure, sample condition and acceptance criteria. The phrase strong export carton does not identify a measurable test. Confirm requirements with the nominated laboratory, freight partner or retailer program.

Control shipping marks, labels and barcodes

Provide controlled artwork for the main mark, side mark and any carton label. Typical data can include consignee or buyer reference, purchase order, style, color, size assortment, carton number, quantity, country-of-origin statement and destination, but the exact fields must come from the buyer's instructions.

Define label dimensions, position, print orientation and barcode data. Verify that human-readable text matches the encoded value. Use a sample scan and visual approval before printing all labels, especially when a retailer or warehouse controls barcode format.

Avoid placing sensitive commercial information on a carton unless the buyer requires it. Also distinguish product labeling, customs information and warehouse routing labels; they serve different purposes and may be governed by different instructions.

Reconcile packing records before shipment

Number cartons consistently and produce a packing list that reconciles carton-level contents with the purchase order. Check total pieces by style, color and size, plus carton count and weight totals. Investigate differences before cargo handover.

Select finished cartons for final inspection according to the buyer's agreed inspection plan. Verify assortment, garment identity, labels, packaging, shipping marks and carton condition. A carton can contain acceptable garments and still fail receiving requirements if its assortment or labels are wrong.

Retain the approved packing specification, label artwork, representative packed-carton record and final packing list under revision control. When a purchase order or assortment changes, update the controlled documents so production, warehouse, buyer and freight parties use the same version.

Connect the packing plan to the RFQ

Include destination, order quantity, color and size matrix, required delivery terms and known retailer or warehouse rules when requesting a quotation. Packaging materials, labor, carton count and dimensional weight can affect commercial planning.

Ask the supplier to identify assumptions and unresolved inputs. If carton dimensions depend on the approved folded garment, mark them as subject to packed-sample confirmation rather than presenting an early estimate as final.

Approve the packing route before bulk completion. Early alignment lets the team source labels and packaging, test scans, prepare carton artwork and avoid repacking after garments are already finished.
