What buyers need to know

Prepare production-ready artwork for bulk T-shirt printing and embroidery. An apparel artwork handoff package is the buyer-controlled set of files and instructions that identifies the approved design, decoration method, physical size, placement, color direction and sample reference for bulk production. For a 100% cotton T-shirt program in the confirmed 220–300 GSM range, connect the approved artwork to the 1,000-piece MOQ, 7-day sample target and approximately 30-day bulk target for NA and EU buyers.

Artwork handoff

An apparel artwork handoff is the buyer's set of files and notes. It tells a supplier which tee, which art, which print or stitch, what size, where it sits, and which file is final. It turns a design into one clear brief for a sample and for bulk.

Checklist

  • Name the style and tee base.
  • Name one final art file and remove old files.
  • State screen printing, DTG, embroidery or special printing.
  • Give art width and height on the tee.
  • Give the spot by clear tee points.
  • List art colors and tee color.
  • Note a solid or washed base.
  • Check art on the real tee.
  • Link the file to the sample and order.
  • Use one color and size matrix.

Method choice

Screen print, DTG, embroidery and special print are not the same route. Compare the art, tee color, size, spot and sample result. Screen print and DTG need the full image, scale and color path. Embroidery needs a conversion file, stitch scale and spot. Special print needs a clear surface effect. Name one route in the pack and keep that route the same on file, sample and order.

Release steps

Send the tee brief, art file, size, spot and color path. Check the sample on the 100% cotton, 220–300 GSM tee. Use the confirmed 7-day sample target for review. Link the approved file to the 1,000-piece MOQ. Plan on the confirmed approximately 30-day bulk target after approval. Date each change. If art changes, review a new sample. This clear path helps NA and EU buyers. Weavnora reviews briefs at postmaster@weavnora.com.

Buyer FAQ

Approval controls

A buyer should review the complete decoration on the selected garment, not only the art file. Confirm the right style, size, base color, wash direction, artwork version, method, dimensions and placement. Compare the approved sample with the final written brief. Record the result as approved, corrections required or rejected. If corrections are required, name each change and state what evidence must return for review. Do not treat a digital mockup as the physical approval.

Color and size matrix link

The artwork handoff does not replace the garment order matrix. It should point to the same dated style record. Check that the 1,000-piece quantity, colors, sizes and decoration reference match the approved sample. A later change to a color, size allocation, artwork version or placement should be visible in the revision record. This makes the sample decision useful to the people who issue the bulk order and inspect the finished units.

Practical file naming

Use names that show style, method, placement and version. Keep source files and production files distinct. Mark the controlling file clearly. Include the revision date in the buyer record. A supplier should not have to guess which image, vector, stitch file or special-print reference is current. These controls are simple, but they protect the buyer's intended result without inventing an unconfirmed performance claim.

For a production review, send the garment brief, artwork package, measurement chart, sample decision and order matrix to Weavnora at postmaster@weavnora.com.

What to send in the pack

Send the garment brief, the source art, the final production file, the chosen method, the size and placement note, the color note, the sample image or approval record, and the dated revision. The buyer should be able to tell which file controls the sample and which sample controls bulk. If a file is only for reference, label it as reference. If a file is final, label it final. Keep the same name in the RFQ and order matrix. A clear pack reduces file swaps, wrong placements and review delays without adding an unconfirmed production claim.

Approval record

Record the style, sample stage, color, size, date, specification version and art version. Use one decision: approved, corrections required, or rejected. If corrections are required, name the change and return evidence. Keep the approved sample, art file and matrix together so the same reference controls the 1,000-piece bulk release.
